Terms and conditions for Online Application for Long-term Japanese Course

ARC Academy

ARC Long Term Japanese Course consists of ARC Intensive Japanese Course and Pre-college course where students stay in Japan for the first 3 months with a short-term status and after that stay with a pre-college visa to study Japanese. The course term can be arranged from 6 months to 2 years and 3 months in 1 term segments (3 month periods). This course is held at ARC Shibuya, Shinjuku, and Osaka. You can proceed your on-line application as follows. Now the registration fee of ARC Intensive Japanese Course and the application fee of ARC Pre-college Course are discounted by applying to ARC Long Term Japanese Course using on-line application.

1. Entry Items

Please fill in the application form, taking care not to make any mistakes. If there are any mistakes or blanks, you may not be able to complete subsequent visa application or status change procedures.

2. Qualification Requirements

  1. The applicant must have graduated from high school or expect to graduate from high school by the day to enter Japan.
  2. The applicant must be able to pay all expenses, such as tuition and living expenses, and be able to produce certification stating such.
  3. If the applicant is under 20 years of age, the consent of the applicant’s guardian is required.

We do not accept applications by agents. The applicant must be the same person as the one who wishes to study.

3. Payment

In the process of completing the online application, students must pay the tuition for the first 3 months by credit card. If a credit card bearing a name other than the name of the applicant is used during the application process, consent of the owner of the card being used must be obtained. Costs in addition to tuition, such as textbooks and other materials, differ depending on the course and the class. These costs are paid at the school when the class schedule is decided.

4. Level-check Test

Please come to the school for a level-check test on the specified time and date before your course starts.

5. Holidays

Lessons take place from Monday to Friday. There are generally no lessons on Saturdays, Sundays and National holidays.

6. Lesson Hours

Lessons are from 9:00 to 12:15 or 13:30 to 16:45. The time depends on your level. The times are assigned, and generally not chosen by the student. Times are subject to change in the cases that there are exchange activities in or outside the school.

7. Cancellation of application before the course begins

All cancellations must be notified in writing. The following regulations shall be applied to cancellations, for whatever reason, before the course begins. All the commission that is necessary for the refund will be charged.

8. Cancellation after the course begins.

Cancelations are not allowed after the course begins.

9. Overseas Travel Insurance

Please buy overseas traveler's insurance before coming to Japan as a preparation for emergencies during your stay. ARC Academy does not take any responsibility for any loss or damage caused by accidents, illness, natural calamities, or strikes. ARC Academy also does not take any responsibility for accidents occurring during transportation or your stay here, or for any lost, damaged, or stolen personal property.

10. Privacy Policy

ARC Academy uses student personal information within the necessary range as indicated below. Student personal information is protected by the staff of ARC Academy and will not be used for any other purposes without the student's agreement.

  1. Submitting to the Japanese Immigration Bureau to receive pre-college visa
  2. Preparation and arrangement for the lessons.
  3. For ensuring students' safety in case of emergencies.
  4. When disclosure has been requested by an official institution and ARC Academy deems such disclosure as necessary.

11. Delivery of Acceptance Certificate

We will send notification of the completion of the application procedure for the first 3 month portion of the course to your specified e-mail address within 24 hours after receiving your Online Application. Please call to ARC International Project Department (+81-3-3409-1057) if you do not hear from us in 24 hours.

12. Preparatory procedure for approval of pre-college visa

The required documents for status of residence after fourth month are described in No. 11 "Delivery of Acceptance Certificate" above. Take the procedure below as soon as possible. Failure to complete the above procedure constitutes cancelation of the pre-college course 4 months after the commencement of the program.

  1. Fill out the required fields in the attached form "Online Application Form for Pre-college Course" and send it within 7 days after receiving the form.
  2. Submit required documents to the school immediately after arrival in Japan.

13. Approval of short-term visa

In most cases, students can come to Japan after receiving the announcement of completion of the application procedure in No. 11 "Delivery of Acceptance Certificate" above. In some countries and consular offices, Acceptance Certificate (Invitation Letter) and other documents are required. These documents are included in the above notification.

* In the case that a short-term visa is not issued, submit notice of cancellation immediately. We will issue a refund following the stipulations of No. 7 "Cancellation of application before the course begins" above.

14. Changes in pre-college visas

We will notify you about the Certificate of Eligibility for your pre-college visa on the 3rd month. Pay the set registration fee and tuition by the prescribed day. We only accept cash payments at the school or bank transfers. We do not take credit-card payments. The charge for changing visa status must be paid separately.

  1. In some cases, the results of the screening of No. 12 "Preparatory procedure for approval of pre-college visa" and the score of applicant for 3 months may result in a failure to receive a pre-college visa. In that case, you must return to your country by the expiration of No. 13 "Short-term visa" above.
  2. From the 4th month onward, you can cancel/withdraw in 1 term segments (3 month periods) and ask for a refund of tuition. Apply in writing by the designated day, which is set at 1 month before each term starts. All money transfer fees, etc. necessary for the refund will be charged.
